Booking Terms

Please read these Booking Terms carefully before booking or using any Satellite Adventures service. They set out the rights and responsibilities of both you and Satellite Adventures.

The following Booking Terms and Conditions apply to all safari reservations, tour packages, and travel services booked with Satellite Adventures. By confirming a booking with us, clients agree to the terms outlined below.

1. Booking Confirmation

A booking is considered confirmed once:

  • A completed booking request or reservation form has been received.
  • The required deposit payment has been made.
  • Satellite Adventures issues a written booking confirmation via email or invoice.

All bookings are subject to availability at the time of reservation.

2. Deposit & Payments

  • A deposit of 30%–50% of the total safari cost is required to secure a booking.
  • Gorilla trekking permits, chimpanzee permits, flights, and certain accommodations may require full payment at the time of booking.
  • Full payment for the safari must be completed before the tour start date unless otherwise agreed in writing.
  • Payments can be made through approved payment methods provided by Satellite Adventures.
  • Any bank charges, transfer fees, or transaction costs are the responsibility of the client.

3. Cancellation Policy

All cancellations must be submitted in writing by email.

Cancellation charges may apply as follows:

  • More than 60 days before arrival: Refund less administrative fees.
  • 30–60 days before arrival: 50% cancellation charge.
  • Less than 30 days before arrival: No refund.

Please note:

  • Gorilla permits and some third-party services may be non-refundable.
  • Refunds are subject to supplier policies and processing timelines.

4. Changes to Bookings

Any requested changes to confirmed bookings are subject to availability and may result in additional costs.

Satellite Adventures reserves the right to modify itineraries, accommodations, routes, or activities due to operational reasons, weather conditions, safety concerns, or circumstances beyond our control.

Where necessary, suitable alternatives of similar standard will be provided.

5. Travel Documents

Clients are responsible for obtaining and carrying all required travel documents, including:

  • Valid passport
  • Tourist visas
  • Vaccination certificates
  • Travel insurance
  • Any other entry requirements

Satellite Adventures is not responsible for denied boarding, immigration refusal, or costs arising from incomplete travel documentation.

6. Travel Insurance

Comprehensive travel insurance is strongly recommended for all clients and should cover:

  • Medical emergencies
  • Trip cancellation
  • Personal injury
  • Loss of luggage
  • Emergency evacuation
  • Flight delays

Satellite Adventures shall not be liable for losses covered under travel insurance policies.

7. Client Responsibility

Clients are expected to:

  • Follow the instructions of guides and tour leaders.
  • Respect wildlife, local communities, and conservation regulations.
  • Behave responsibly throughout the safari experience.

Satellite Adventures reserves the right to remove any traveler whose behavior causes danger, disruption, or inconvenience to others without refund.

8. Liability Disclaimer

While every effort is made to ensure safety and comfort, participation in safari activities involves inherent risks.

Satellite Adventures shall not be held responsible for:

  • Injury or illness
  • Loss or damage of personal property
  • Flight delays or cancellations
  • Natural disasters
  • Political unrest
  • Events beyond our reasonable control

All travel activities are undertaken at the client’s own risk.

9. Force Majeure

Satellite Adventures shall not be liable for delays, cancellations, or failure to provide services due to circumstances beyond our control, including:

  • Natural disasters
  • Government restrictions
  • Pandemics
  • Political instability
  • Airline disruptions
  • Border closures

Any refunds or amendments will depend on supplier policies and operational possibilities.

10. Acceptance of Terms

By making a booking with Satellite Adventures, the client confirms that they have read, understood, and accepted these Booking Terms and Conditions.
